Lock Knak Assets Based on Veeva Vault Status

Keep synced emails from changing while they are under review in Veeva Vault.

Overview

Knak connects with Veeva Vault. With this connection, Knak can lock an asset based on its status in Veeva Vault. A locked asset can't be edited.

This helps keep your synced emails the same while they are under review.


Before You Begin


Turn On Asset Locking

  1. Go to Admin > Integrations > Platforms.

  2. Select the Veeva Vault integration.

  3. Turn on Lock asset on submission sync.

When an Asset Gets Locked

A submission sync sends your asset to Veeva Vault. Knak locks an asset when both of these things are true:

  • A submission sync has been completed on the asset.

  • The asset can't be edited in Veeva Vault.

The asset unlocks when its status in Veeva Vault changes to one that can be edited.


What "Editable" Means in Veeva Vault

Knak uses an Application Programming Interface (API) user to connect to Veeva Vault. An API user is the account Knak uses to talk to Veeva Vault.

A Veeva Vault document is editable if the API user can edit it. More specifically, the API user must be able to check out the document in its current lifecycle state.

Checking out a document means opening it for editing. A lifecycle state is the stage a document is in, such as a review stage.


Choose Which Lifecycle States Lock an Asset

You can control when your Knak assets lock or unlock. Change the API user's permissions in Veeva Vault for each lifecycle state.

  • To lock an asset in a state, remove the API user's permission to check out documents in that state.

  • To keep an asset unlocked in a state, give the API user permission to check out documents in that state.
