Understanding Email Statuses

Learn what each status means and how emails move from draft to completed.

Overview

Email statuses help you track progress during the review process. Each status shows where your email is in its lifecycle.

Available Statuses

You can use four statuses:

  • Draft

  • Awaiting Approval

  • Approved

  • Completed

Typical Workflow

Emails usually follow this path:

Draft β†’ Awaiting Approval β†’ Approved β†’ Completed

You can also mark an email as Completed at any time after Draft.


Draft

A new email starts as Draft.

  • The email is still being built

  • The email has not been sent for review

  • The email has not been finalized

Awaiting Approval

This status appears after you send an email for review.

  • The email is waiting for feedback

  • Reviewers can approve or request changes

Approved

This status appears after reviewers approve the email.

  • The email is ready for final use

  • No further approval is required


Completed

Completed is the final status.

How to Mark an Email as Completed

  1. Click the three-dot menu

  2. Select Mark Completed

What Happens Next

  • The email is marked as finished

  • The email is no longer part of the review workflow

  • The email is locked and cannot be edited

  • You cannot revert the email back to Draft or any previous status

Best Practice

Mark an email as Completed only when all work is done.
