This guide walks you through setting up approval workflows, managing reviewer input, and finalizing approvals efficiently.
Set Up Approvals and Review Groups
Start by setting the stage for team collaboration on your email campaign.
Start a Review
To initiate the approval process:
1. Click the Reviews tab at the top of the Knak email editor.
2. Choose a predefined Review Group or click Add Reviewers to assign individuals.
If no group is predefined, reviewers can be selected manually.
View Approval Stages
Once the review group is configured, each stage of the workflow and its approval status will be clearly shown:
This helps ensure visibility and accountability throughout the process.
Edit the Review Workflow
To make changes during an ongoing review:
Return to the Reviews tab.
Click Edit approvals.
You can edit the review workflow at any stage by clicking the Reviews tab and selecting Edit Reviewers. To do this, your role must include both the Edit approval group and Allow editing approval groups on approval process permissions. View all role permissions here.
Reviewer Notifications and Actions
Notifications
Each assigned reviewer receives an alert when an email is ready for review.

Take Action
Reviewers have two options:
Mark as Reviewed β Progresses the email to the next person in the queue.
Request Changes β Open the Collaborate section for detailed feedback.
Using the Collaborate Section
The Collaborate panel allows reviewers to leave targeted feedback directly within the email content.
Leave Comments
To comment:
Click any part of the email to place a marker.
Type feedback in the comment box that appears in the right sidebar.
Use
@username
to notify team members directly.
Add Context-Specific Notes
Click on individual sections to leave comments tied to that content:
Review Dynamic Content
Use the dynamic content toggle near the preview button to switch between content variants. This ensures you can review all scenarios and leave precise feedback.
Finalizing Reviews and Approvals
Once changes are addressed, click the checkmark next to a comment to resolve it.
The email can then be resent for further review by using the review tab.
When it has been marked as approved by all necessary reviewers, the creator will get an notification that it has been approved from the studio view.
The email approval process is now complete.
Override an Approval
Admins can bypass the normal process if needed:
Click the Info tab.
Press Mark as Approved.
Reset the Workflow
To restart the approval process:
In the Info tab, click Revert to Draft.
This cancels all active approvals and resets the status.
