AI Email Generation helps you create fully structured, brand-consistent email drafts using your prompt, attachments, Brand Voice, and brand theme.

This article answers the most common questions about how the feature works.


Getting Started


How long does email generation take?

Most emails generate within a few minutes.

Generation time depends on the amount of information the AI needs to process.

  • Short prompts usually finish faster.

  • Larger themes take longer.

  • Long documents increase processing time.

  • Multiple attachments require additional processing.

More context typically produces more accurate results.


Can you use AI Email Generation without Brand Voice?

Yes. You can generate emails without Brand Voice. Include tone and style directly in your prompt for better results.

For consistent messaging, set up Brand Voice before generating content.

Which Brand Voice does AI use?

AI uses the default Brand Voice assigned to the Brand you are working in.

To view the active Brand Voice:

  1. Open your email.

  2. Open the Info tab.

  3. View the Brand Voice field in the right panel.

Will AI automatically send campaigns?

No. AI helps create email content. You remain responsible for reviewing, approving, and sending every email.

AI works best for:

  • Creating first drafts

  • Building content variations

  • Running A/B tests

  • Personalizing sections for different audiences


Prompts


How do you write better prompts?

Include:

  • Your goal

  • Your audience

  • Required messaging

  • Desired tone

  • Important details

  • Specific instructions

The more context you provide, the better the output.


Why does the output feel generic?

Generic prompts produce generic results.

Improve your results by:

  • Adding audience information

  • Describing your tone

  • Including key messaging

  • Setting up Brand Voice


Why did AI include information I didn't request?

AI fills in missing information when instructions are unclear.

Reduce unwanted content by:

  • Writing more detailed prompts

  • Uploading supporting documents

  • Adding reference URLs


Why did the AI generation miss important information?

AI only uses information you provide.

If something is important:

  • Mention it in your prompt.

  • Upload supporting documents.

  • Include a URL if applicable.


Can you continue editing after generation?

Yes!

You can:

  • Edit text

  • Replace images

  • Rearrange modules

  • Adjust spacing

  • Use AI Agents to rewrite individual sections

Can you regenerate the email?

You can:

  • Rewrite individual sections with AI Agents.

  • Generate a brand-new draft.

Regenerating an existing prompt is planned for a future release.


Where can you view the original prompt?

To view the prompt:

  1. Open the Info tab.

  2. Open Audit Trail.

Can prompts be written in another language?

Yes. Write your prompt in your preferred language.

If you want the generated email in a specific language, include that instruction in your prompt.


Brand Voice


How does Brand Voice affect AI output?

Brand Voice defines:

  • Tone

  • Vocabulary

  • Preferred terminology

  • Writing style

A well-configured Brand Voice produces more consistent content across every email.


Do Brand Voice changes update existing emails?

No. Generate a new email or use AI Rewrite to apply your updated Brand Voice.


Can different regions use different writing styles?

Yes. Create separate Brand Voice profiles and Brand Voice Rules for each:

  • Region

  • Product line

  • Business unit

  • Audience


Does AI recognize product names?

Yes, when product names are included in your Brand Voice Rules. Otherwise, include product names directly in your prompt.

Layout and Editing


Why doesn't the generated email match your expected layout?

Attach a layout reference.

Without one, AI creates a layout using:

  • Your prompt

  • Brand fonts

  • Brand colors

  • Default Brand Voice


Can you edit generated emails?

Yes. You remain in complete control.

You can:

  • Edit text

  • Replace images

  • Rearrange modules

  • Modify spacing

  • Use AI Agents for additional refinement


How do you improve generation from screenshots?

Screenshots provide visual guidance but leave room for interpretation.

For more accurate results:

  • Attach a theme.

  • Include images.

  • Add layout instructions.

  • Provide more detailed prompts.


AI Behavior


Does Knak AI learn from your emails?

No. Knak AI does not learn from your organization's content over time.

Each generation only uses:

  • Your prompt

  • Brand settings

  • Uploaded attachments


Can AI generate technical content?

Yes.

Provide supporting information such as:

  • Product documentation

  • URLs

  • Technical briefs

  • Compliance information

Always review technical content before publishing.


Is your data safe?

Yes.

Your prompts and uploaded content:

  • Are used only for your generation.

  • Are not used to train external models.

  • Are not shared with other customers.

Which AI model powers AI Email Generation?

AI Email Generation currently uses Gemini 2.5 Pro.

Additional models may be added in future releases.


Can you use your own AI model?

Not yet. Support for selecting different AI models is planned.


Can you disable AI?

Yes. Your organization can disable AI features while continuing to use Knak's email creation platform.


Images


Can AI generate images?

No. Upload approved images or provide image URLs for AI to reference.


Should image files have descriptive names?

Yes.

Use clear names such as:

  • Hero Image

  • Product A

  • Speaker Headshot

Descriptive names improve AI accuracy.


Can AI use Digital Asset Management (DAM) images?

Not directly. Upload images manually or provide public image URLs.


Can AI upload generated images to your DAM?

No. Image generation and DAM uploads are not currently supported.


Attachments


Are attachments required?

No. A prompt alone is enough. Attachments improve accuracy.


Which file types are supported?

Currently supported:

  • PDF

Limits:

  • Maximum 20 files

  • Maximum 5 MB per file


What if a PDF is too large?

Try one of the following:

  • Compress the PDF.

  • Split it into multiple files.

  • Provide a URL instead.


Does Knak AI search the internet?

Only when you provide a URL.

Otherwise, AI only uses:

  • Your prompt

  • Uploaded attachments

Note: Private URLs are not supported.


Does attachment file naming matter?

Yes. Use short, descriptive file names.

Examples:

  • Product Overview

  • Speaker Headshot

  • Webinar Agenda
