Why Email Formatting Changes When Forwarded

Responsive emails are designed with two layouts:

  • One for desktop screens

  • One for mobile devices

When you forward or reply to an email:

  • Email platforms like Gmail or Outlook strip out some of the original code.

  • This removed code includes the parts that switch between mobile and desktop layouts.

  • As a result, the email defaults to a single layout—either mobile or desktop.

What Determines the Default Layout?

  • Mobile-First emails default to the mobile layout when forwarded.

  • Desktop-First emails default to the desktop layout.

If your forwarded email appears in the mobile layout, that’s by design. It ensures your message stays readable on mobile devices, where most users check their email.

Special Case: Outlook Classic for Windows

Outlook Classic for Windows:

  • Always forwards the desktop version of the email.

  • Can introduce layout issues like large gaps between elements.

To improve forwarded email formatting in Outlook Classic:

  • Admins can enable the Optimize HTML for Outlook Forwarding option in Account Settings.

  • Note: This setting increases the overall file size of your emails.


Benefits of a Mobile-First Approach

Why It Matters

Some email apps (e.g., Gmail for Android with non-Gmail accounts) cannot switch layouts. They display only the default view.

  1. Mobile devices show the email properly—both originally and when forwarded.
